Mamas Five Mile Childcare Fees Policy

At Mamas Five Mile Childcare all booked hours must be paid for unless they fall on a Statutory Holiday or the Centre is closed.

Minimum Enrolment

Under 3 year olds - Two sessions a week of at least 3 hours each are required.
                                  
Over 3 year olds - All children eligible for 20 Hours ECE have minimum booked times depending on the number of days they attend each week. These are:
   
22.5 hours per week if attending 5 days per week
22 hours per week if attending 4 days per week
19.5 hours per week if attending 3 days per week
13 hours per week if attending 2 days per week
6.5 hours per day if attending 1 day per week  

Please note for all children we are unable to have sessions that run during the centre of the day, such as from 10am to 2.30pm or 11am to 3.30pm.

Session Bookings
All children can be booked for sessions (between the hours of 7.30am and 12.30pm or between 1pm and 5.30pm) or for whole days (minimum of 6.5 hours) within the 7.45am opening and the 5.30pm closing time.

Closure
When the Centre is closed for Statutory Holidays there is no charge for fees.  Fee paying continues every other week of the year. The Centre will be open for the days between Christmas and New Year.

Enrolment Fee
A non-refundable Enrolment Fee of $30 is payable upon enrolment.  This fee covers administrative costs including the Individual Journey of Learning for your child, a lunch box, and purchase of your child’s bedding etc.

Casual Booking fee
We have a daily fee of $5 for casual bookings which covers the administrative costs for the additional bookwork involved.
Change of Permanent Bookings fee. This fee of $5 per day is charged when children’s usual permanent bookings are changed.

Discount
We offer a discount of 20% for the second and third child in the family while both/all children are attending the same times.

Sickness
Each child has three free sick days per year – that is no charge if the Centre is notified of their absence (by email or phone) due to illness by 7.45am for the morning session or full day, and 11am for the afternoon session. Full fees apply if no notification is received.
                           
Family Holidays
Each child can have a maximum of three weeks per year for a family holiday at reduced rates once they have attended the Centre for three months.  This is allocated on a pro-rata basis, that is, if your child attends one day per week three days are allowed if your child attends three days per week nine days are allowed if your child attends five days per week 15 days are allowed.  While your child is absent 50% fees are charged to hold your child’s space.  After the allowed day's absence, full fees will apply.  We require at least two weeks’ notice of your child’s absence due to a family holiday.

Earlier Drop Off/Later Pick ups
If you require an earlier drop-off/later pick up, please check first that we have availability.  We are on a strict teacher: child ratios set by the Ministry of Education.  Our teachers all work differing shifts based on the booked times of the children attending the Centre. Please phone if you know you will be arriving early or late, and we will try to organise staff to maintain the correct ratios.  Children should be collected promptly at the end of their booked times.  If a staff member has to be employed for longer than their shift because you are running late, a ‘Late Fee’ will apply.  This is $15 for every 15 minutes or part thereof and is used to cover the additional staff wage costs.  If it appears you are beginning to have difficulty keeping to your booked times on a regular basis, please discuss this with the Centre Manager and arrange to amend your child’s hours of attendance.

20 Hours ECE free
This is available for children who have had their third birthday and is for a maximum of 20 hours per week and six hours per day.  Parents must complete and sign an Attestation Form (provided by the Ministry of Education) to confirm the 20 Hours ECE their
child will receive at Mamas Childcare and any other early childhood service their child attends.  This form needs to be updated and signed when any changes in childcare arrangements affect the 20 Hours ECE.  To receive this funding your child must attend for their booked hours each day.  If a child is absent for a period of up to three continuous weeks, the Ministry will continue to fund Mamas Childcare for 20 Hours ECE while the child is away.  However, 20 Hours ECE funding will stop after 3 weeks’ absence and parents will be charged the full fees to retain their space.  Families whose children receive 20 Hours ECE may also receive the WINZ Childcare Subsidy for the hours that are not covered by 20 Hours ECE.

All children eligible for 20 Hours ECE have minimum booked times of: 
22.5 hours per week if attending 5 days per week
22 hours per week if attending 4 days per week
19.5 hours per week if attending 3 days per week
13 hours per week if attending 2 days per week
6.5 hours per day if attending 1 day per week  

Optional Charge
Mamas Childcare does not currently charge an Optional Charge for the children receiving 20 Hours ECE. Optional Charges usually cover the additional staffing provided over the required government ratios, programme resources, excursions into the community,
and sunscreen. In the future it might become necessary to ask for an Optional Charge from parents.

Work and Income (WINZ) Childcare Subsidy
WINZ Childcare Subsidy forms are available from your nearest WINZ office.  We will complete the relevant page confirming hours booked and cost.  It is a WINZ requirement that you, the parent, keep them notified about your child’s attendance and comply with their terms and conditions, especially for any absences of more than three weeks’ duration and changes of bookings.  Please bring your annual Childcare Subsidy Verification Form to our office for signing as soon as it is received, and then return it to the WINZ office promptly to ensure continuity of your subsidy.  This is very important as WINZ will not back-date applications and you would be required to pay Mamas Childcare full fees.

Leaving Mamas Childcare
Two weeks notice must be given if your child is to finish attending Mamas Childcare.

Ministry of Education Funding.
Each year we provide parents with details of how the funding we have received has been spent.  This will be displayed on the Noticeboard and emailed out with the weekly newsletter.

Fee Payment Practice

The Enrolment Fee ($30) and one week’s full fees are to be paid in advance when you start at the Centre.  Fees should be in credit at any time.  This advance payment is viewed as a bond and will be kept by the Centre if insufficient notice is given that care is no longer required. Fee payment options are internet banking, EFTPOS (no credit cards), cash, or cheque.

To be accurate we must provide a paper trail for our auditors.  In ‘Particulars’ please write your child’s account number, in ‘Code’ please write your child’s first name, in ‘Reference’ please write your child’s last name.  Please see the Manager if you need further explanation of this process.

EFTPOS/cash/cheque payments can be paid at the office. A receipt will be given for these payments.

Accounts Receivable Policy

Invoices will be sent weekly to families by email.  Prompt payment is required so accounts remain in credit. If the child’s account is two weeks in arrears, you will be approached and asked for a commitment to an agreed method of payment.

A Late Payment fee of 10% of the outstanding fees (or $10 whichever is the greater) will be added to all accounts that are overdue by one month.

Mamas Childcare reserves the right to follow usual methods of debt recovery.  All debt collection fees will be passed on to the parent.
